We’re currently looking for a warm, highly organized, and proactive Receptionist & Office Coordinator to join our team. The Receptionist offers the first impression for new clients and those visiting the office for the first time. This is a key position responsible for managing the front office, supporting day-to-day operations, and ensuring a welcoming and seamless experience for our clients and staff.

Key Responsibilities

Client Experience & Front Office

  • Greet clients and visitors with a professional and friendly demeanor
  • Answer and direct incoming phone calls
  • Handle incoming and outgoing mail, including FedEx shipments
  • Coordinate client birthday cakes and sympathy gifts
  • Set up new client folders and input new client information into our system

Office & Event Coordination

  • Liaison to building management for maintenance and facility needs
  • Order office and kitchen supplies
  • Maintain organization and cleanliness of the office
  • Organize food for in-office events and team lunches
  • Prepare and organize items for offsite events (attendance not required)
  • Assist with holiday decorations and monthly office birthday celebrations
  • Work with internal staff on company swag and branded items

Administrative & Executive Support

  • Manage business and personal travel arrangements for the executive team.
  • Handle personal errands and tasks for executive team members as needed
  • Coordinate with copier/phone service providers as necessary

Qualifications

  • 2+ years of experience in a professional office setting; specifically administrative, receptionist, or office coordinator role
  • Strong organizational and multitasking abilities
  • Outstanding verbal and written communication skills
  • Friendly, professional, and client-service oriented demeanor
  • Proficiency in Microsoft Office Suite
  • Ability to handle confidential information with discretion and integrity
  • A proactive, can-do attitude and a team-first mindset
